First Step in Promoting a New Site: Directories

Imagine buying a new car, driving it home and never once putting gas in it. It just sits there in the garage, blocking access to your gardening tools. Ridiculous waste of money, right? That’s tantamount to building a new website and never updating it, upgrading it or promoting it. It just sits there and blocks your opportunity to purvey a message, boost membership or garner support.

Upgrading and updating are iterative processes that you might begin after a few weeks of living with your new website. But the first thing you should do off the chute is start promoting like crazy. One of the easiest ways to do that is to submit your website to search engines and directories.

The reason is two-fold. First, you want to make sure your name appears where people are looking. If you’re a synagogue or church, you want potential members to find you if they’re shopping around by browsing through local directories (”Massachusetts synagogues”).

Secondly, generating links is a great way to to boost your reach in search engines, and search engines are the top way people find information online. You need to follow some proven search engine optimization, or SEO, techniques to help your name move to the top of the list when someone might be trying to find you in a search engine.

Many directories charge a fee, and these are of questionable value. Focus on free listings, especially those in your community. Take a day or so to sit down and find every directory that relates to your organization, and then submit your site to each one. Here’s a list of free directory submission pages to get you started.

Spring Clean Your Website Copy (Part 3)

As time passes and your goals and objectives evolve, so should your website copy. If you’ve been following our series on spring cleaning your website, including putting together a clean team and purging dead links (click here to see all the articles in the series), you’ll be in the perfect place to start focusing on the words and structure that you use to communicate with your audience.

While keeping up on your website copy isn’t as fluid an activity as is purging your dead links, you still need to make sure your site is connecting to people appropriately and that you’re broadcasting the right message. Always watch your analytics to make sure you’re receiving the responses you expect. Otherwise, it’s time to make some changes.

The process of cleaning up your copy should be an abbreviated version of the one you followed when you began to write copy for your website. Here’s how you should start from scratch:

  1. Come up with a website architecture, or wireframe, that outlines every page of your site. That way you know what you need to provide copy for.
  2. Scope out the key concepts you want to convey for each page, usually three to five bullets for each page.
  3. Round up your research and source material to support your key concepts.
  4. Identify the appropriate tone for your website - chummy or serious?

Here’s the abbreviated version of the process you should follow when you’re cleaning up your content:

  1. Review your site structure. Do you have all the pages you need? The link-checking process you went through earlier should have identified gaps and unnecessary pages.
  2. Evaluate your message. Does the copy on those pages still match up with your key concepts? Do those key concepts still reflect your organization?
  3. Incorporate updates. Do you have additional research and source material to boost your copy? Look for new case studies, testimonials or tools, like social media widgets like a Twitter feed or most recent blog entries.
  4. Watch your tone. Does the copy’s tone still match your organization’s personality? You might find the tone too academic, or too punchy when you first wrote it, and it doesn’t accurately represent your mission.
  5. Finally, fix problems. This is possibly the most important step, and it’s a great chance to address any communications problems you’re having. For instance, your front desk might be fielding calls about directions or e-mailing forms that you can easily transfer to your site. Seek out potential communications bottlenecks, such as poor search engine results, i.e., SEO issues, that you can address with better copy.

Word Watch: Crawlability

Crawlability: n. a measure of the ease with which a website may be scanned by a search engine robot.

This is one bit of jargon worth learning. It has a big impact on a site’s search engine rankings. Three things you can do to improve your site’s crawlability:

  1. Add a hierarchical sitemap
  2. Use descriptive URLs everywhere (i.e., pages should called about-us.html or driving_directions.html. Or better yet, get a CMS to do the hard work for you.)
  3. Make sure titles and headings reflect the site’s most important elements

I like to think I'm fluent in English, being born and raised in America and all. But sometimes I feel like I'm learning a new language: technospeak. Every industry is rich with its own jargon, but because so many people use the Internet, the technology industry's jargon frustratingly works its way into common speak (remember when we all laughed about the word "blog"?). You don't need to know what all this terminology means (like undercooked spaghetti not all of it will stick), but here are what I consider the top five most important tech terms that are worth learning.

  1. SEO (search engine optimization): “… the process of improving the volume and quality of traffic to a web site from search engines via … search results. Usually, the earlier a site is presented in the search results, or the higher it 'ranks,' the more searchers will visit that site." From Wikipedia. See blog postings on SEO.
  2. Open source: “… a development method for software that harnesses the power of distributed peer review and transparency of process.” From the Open Source Initiative. Software code that is created under open source guidelines (such as Drupal – our CMS of choice) is open to anybody to use without licensing restrictions.
  3. RSS (Rich Site Summary or Really Simple Syndication or RDF Site Summary, depending on who you ask): “… a format used to publish frequently updated works - such as blog entries, news headlines, audio, and video. An RSS document (which is called a 'feed', 'web feed', or 'channel') includes full or summarized text … [that] benefit publishers by letting them syndicate content automatically. They benefit readers who want to subscribe to timely updates from favored websites or to aggregate feeds from many sites into one place. RSS feeds can be read using software called an 'RSS reader', 'feed reader', or 'aggregator', which can be web-based or desktop-based.” From Wikipedia.   4. Microblogging: “… the practice of sending brief posts to a personal blog on a Web site, such as Twitter or Jaiku. Microposts can be made public on a Web site and/or distributed to a private group of subscribers. InterfaithFamily.com’s Traffic-Boosting Tweaks

Innovation is one of the first things on the chopping block during tough financial times. Understandable, especially if organizations are being asked to fund something that’s risky. But innovation has a partner up there with its neck also extended, which is marketing, I’m very sorry to note.

What many people don’t realize is that marketing is necessary for keeping your organization afloat, no matter what your organization is. John Jantsch of Duct Tape Marketing fame says, “Every business is a marketing business.” That goes the same for nonprofits, because you’re constantly trying to stay in front of the people who believe in your cause.

And what is a website if not one of the cheapest forms of marketing out there?

“The Internet is the cheapest and most successful form of marketing around,” says Micah Sachs, Director of Web Strategy at InterfaithFamily.com, who I interviewed for an article that will appear in an issue of The Forward next month. He’s been using bargain basement web marketing to great effect. Namely, he’s instituted a few changes in SEO (search engine optimization) and Google Adwords.

After InterfaithFamily gave itself a modest marketing makeover about a year ago, its traffic immediately increased 63 percent. It’s seen a steady increase, and Sachs said that up through June 2008, he never saw less than a 40 percent increase.

Here are a few of the easy steps he followed to boost his traffic:

  1. Give each page a unique title
  2. Create URLs that match the article titles
  3. Add article keywords on web pages

At first, it required a significant time investment, and he company brought in an intern who spent about 40 hours per week for 10 weeks writing in descriptions, adding keywords and generally optimizing the site’s old articles.

“But now it’s part of our culture,” he says. “Any time we create anything new on the site, we don’t even think of something as additional work. We create keywords, create title tags. It’s just a part of what we do.”

Once your organization has figured out a system for creating these three main changes, an increase in web visibility should come naturally and simply.

“This is all stuff that’s simple and straightforward,” he says. “It’s amazing how many sites of major orgs aren’t search-engine optimized. It will cost them no money; they just have to ask their webmaster to make some changes.”

Simple Technique for Better SEO

We just hosted a webinar with some friends of ours at Dinkum Interactive about search engine optimization. It was great and we’ve received a lot of positive feedback so far.

One of the biggest lessons we addressed during the presentation was the importance of looking beyond just the technology and just the marketing when it comes to coaxing people to find you on the Internet. It’s much more than having the right tools or writing the right copy. So-called search engine optimization is a full-on effort that ensures that you’re always promoting your company and making sure that people are always learning about you.

But there are a few things you can do to help coax search engines to move you up their web pages. One is clean URLs.

Every page on your website has its own address, or URL. Search engines, as do people, like to see these addresses when they make sense. So they’ll avoid cataloging those pages with such addresses as

And prefer addresses that give a clear indication of the information on the page, such as:

This can be done automatically if your CMS (content management system) has clean URLs installed. Then it will read the page’s title and make that the URL, rather than a mechanical string.
Try it out, and see if suddenly more people are able to find you online.

Three No-Brainers for Website Promotion

When going over the designs for his website, a client of mine said, “If we put our newsletter on our website, why do we need to e-mail it to people too?”

My answer: “Because they don’t know it’s there!”

It’s a very common question, and a common misconception. Just because you build a website doesn’t mean that anyone knows it’s there. And it’s not a guarantee they’ll come.

In fact, people are fickle. You have to beat them over the head to make them visit your site, and then you have to make it easy for them to read your site, navigate your site and anticipate what they’re looking for.

All this takes a lot of research into knowing your audience and working with a company that understands the way humans interact with technology, but here are a few tips and tools you can follow to help bring people to your site and help keep them there:

Learn SEO. Make sure you write the copy on your site to attract the most people and the most search engines with search engine optimization (SEO). We’re hosting a free online seminar on this topic on August 5, 2008, so sign up to learn how.

Send a Newsletter. If you didn’t have an electronic newsletter before, get one now. Publishing news regularly gives you a chance to connect with your audience and connect to them while they’re at their computer. That’s the best time for them to click through to your website. We build newsletters into our content management systems, but many independent companies provide powerful newsletter tools, such as Constant Contact.

Advertise Widely and Often. Advertise your site everywhere. On your invoices, business cards, sticky notes, voice mail recordings, newsletters - everywhere. Slap your URL on it. VistaPrint is one of many companies that provides cheap promotional materials that you can use for advertising.
